At Aara, we provide end-to-end guidance for your higher education journey. This document outlines the scope of our services, policies, and important notes for clarity.
1. Scope of Services (What’s Included)
🔹 University Shortlisting
Customized shortlist based on your profile, budget, course and country preferences, and career goals. Shortlist balances ambitious universities with safer options for realistic chances of admission.
🔹 Application Documents
Statement of Purpose (SOP): Drafted from scratch once you fill in the questionnaire provided by Aara. Proper completion of the questionnaire is important. Multiple edits are supported. After three rounds, we usually review together to identify the core concerns before proceeding further.
Letters of Recommendation (LORs): Drafted/edited based on your inputs and filled questionnaire provided by Aara.
- USA/Canada/Europe: Up to 3 LORs included.
- UK/Ireland/Australia/New Zealand: Up to 2 LORs (third only if required).
- For other countries, 2 LORs included; additional as per university requirements.
Resume (CV): You provide a basic word draft; Aara edits and formats to meet university standards.
University-Specific Essays: Structuring and editing support provided as per requirement. Content must be provided by the student in line with word limits and university requirements.
🔹 Application Process
Student/Parents are expected to fill out applications; Aara provides guidance, resolves doubts, and assists where needed. Each application is reviewed thoroughly before submission. A select few sectional details can be filled from Aara's end if the student is unable to do it. Dedicated counselor assigned for support and queries throughout the process.
🔹 Scholarships
Links and guidance will be shared. Students must identify the scholarships they wish to apply for; Aara assists with the process (essays, interview prep) once details are provided. Scholarship application and form to be completely filled by the student.
🔹 Ancillary Services
We assist and coordinate for:
- Education loans
- Insurance (health/travel/university-mandated)
- Accommodation guidance
- Forex transfers/Cards
- Blocked accounts / GIC
- Bank accounts & cards abroad
- Any ancillary support/service required for the process
We also conduct webinars covering deadlines, do’s & don’ts, and useful information. Recordings are available on the CRM/Email — it is student responsibility to go through them.
Aara’s role is mainly to coordinate, connect you with trusted providers, save costs, and provide suitable options. Execution depends on your documents, profile, and active participation.
🔹 Visa Assistance
Guidance on documentation and preparation. Aara will fill forms wherever possible; personal details must be provided by you. Visa slots must be booked by the student. Support continues until visa is granted. Minor queries post-visa can be addressed.
🔹 PhD-Specific Notes
Aara will:
- Help shortlist universities, departments, and potential supervisors.
- Provide content for supervisor outreach emails.
- Assist with SOP, CV, and LORs.
Student responsibilities:
- Choosing supervisors.
- Contacting professors/universities directly.
Not included: Drafting research proposals or research papers (available at separate charge). Minor edits are included.
🔹 MBA & UG Notes
Zoom calls may be arranged for essay and content support if required. WhatsApp group creation for extra support and coordination.
2. Policies
🔹 University Application Coverage Limit
We help with applications for up to 10 universities in any package chosen. More than 10, the charges will be INR 2000/- per university (post 10 universities). For UG- UCs and UCAS portal, universities will be considered as 1 university itself. If UCAS is required additionally after 10, we will charge INR 5000/- for the same.
🔹 Deferrals
With Admit: If you receive an admit and then defer, a continuation fee (not the entire package fee) will apply as additional work is involved.
Without Admit: If you applied to a balanced shortlist (including safer universities), support for re-application to the same set will be extended for one further intake at no extra cost. If you chose to apply only to ambitious universities and did not apply to safer ones, a nominal continuation fee (not the entire package fee) will apply.
🔹 Intake Deferment (Revised Fees and Additional Work Policy)
If a student defers their intake, counseling fees will be applicable as per the fee structure of the revised intake. Any increase in fees will be charged as a differential amount; no additional charges will apply if fees remain unchanged.
If the deferment involves extra repeated work, we may charge extra based on the effort involved, along with any applicable differential amount. If no extra work is required, no additional charges will be levied. The determination of additional work and charges shall be at the sole discretion of the consultancy.
🔹 Country Change
Before applications submitted: Support may continue within the same package, unless content work was done on it, then additional charges will apply. After applications submitted: Continuation fee may apply depending on efforts required.
🔹 Extra Documents
Package includes: 1 SOP, 3 LORs (or 2 depending on country), 1 CV, and university-required essays. All of these for up to 10 university applications (shortlisting can be higher). Additional requests (extra SOP, LOR, extra university applications, experience letters, etc.) are chargeable separately.
🔹 No Admit Scenarios
Masters/UG/MBA/Transfer: If no admits despite applying to a balanced shortlist, Aara will provide up to 10 additional applications for the next intake (one intake only).
PhD: One additional round of university and supervisor search with refined proposal inputs. If admits are still not received, it may indicate that the profile is currently not competitive for PhD admissions.
🔹 Other Scenarios
If you drastically change your profile or field mid-process, additional guidance or re-planning may be chargeable based on effort. The package covers the admission process; any test preparation or extra services outside this scope may be offered separately. A free demo/consultation can be provided for discussion.
If GRE/GMAT/SAT or any other test prep taken along with complete counseling package - IELTS/TOEFL coaching will be free.
🔹 Fees Disclaimer
The package cost covers Aara Consultancy’s services, guidance, and efforts. It does not include application fees, visa or embassy fees, or any other charges payable directly or indirectly to universities, government authorities, or third parties during the process. These are the students’ responsibility. Any extra fee to be levied will be decided by Aara, and the same will be final. However, it will be done taking into consideration the extra efforts involved.
